How it works

From a new enquiry to a delivered gallery

  1. Start with the client

    Choose an existing client or save a new contact and shoot type. The first intake is a draft, so you can review the details before continuing.

  2. Prepare the booking

    Review the date, duration, venue, rate, travel and assets. Save a booking and create a quote when you are ready; sending it is a separate action.

  3. Track the job

    Keep the next action and delivery date in Projects. Review the client response, issue the appropriate invoice and record money received separately.

  4. Deliver the photographs

    Upload to a gallery, check the preview and download permissions, then explicitly publish and share it. Keep the gallery connected to the client or job.

Good to know

A useful workspace with clear boundaries

The current workspace includes a private client portal, client favourites, original downloads, financial records, an Asset Register and selected read-only accountant sharing. Every plan includes the current tools; storage, client and gallery limits, support and routine CSV access vary by plan.

Workflow stages help you organise work. A stage label alone does not prove that a client approved a quote, paid an invoice or signed a contract. You review and confirm the actions that affect the client.

Financial records currently use GBP. Bank feeds, tax filing, electronic contract signatures, a website builder and a print shop are not available today. Review the roadmap separately from the tools you can use now.

Who is GlassSuite for?

Photographers and other creative businesses that want their client records, job planning, finances, equipment and galleries in one workspace. It runs in a browser on a computer, tablet or phone.

Can I use it alongside my existing website?

Yes. Keep your existing portfolio website and share GlassSuite private client links when you are ready to deliver work. You do not need to rebuild your public website to use the workspace.

Does every plan include the business tools?

Yes. All current tools are included in every tier, subject to its storage and record limits. Routine financial and asset CSV access requires a paid plan; authorised gallery downloads and issued documents remain accessible.
