Quotes and invoices

Photography invoices that stay connected to the job.

Keep the price, client and booking together. Prepare a quote, review it with your client and create the invoice when you are ready to issue it.

Use your business details on invoice PDFs, keep a record of money received and follow up on outstanding balances from the same workspace.

One calendar month. No credit card. No automatic trial charge.

How it works

From a saved booking to an invoice

  1. Prepare the quote

Use the saved booking price to create a quote draft. Review the proposal before sending it; creating a draft does not email the client.

  2. Review the client response

A client can accept a current quote through their portal. Keep that agreed proposal with the job rather than replacing it with a changed rate.

  3. Issue the invoice

Create and check the invoice draft, then explicitly issue it. Download a PDF bearing your photographer business information and payment instructions.

  4. Record and follow up

Record money actually received. If reminders are enabled, review their schedule and recipient, and pause chasing when an invoice needs attention.

Good to know

Clear financial records, without assuming a payment

An invoice and a payment are separate records. Issuing an invoice does not mean money has arrived, and a workflow label does not establish a paid balance. Finance Overview uses recorded receipts and business costs for cash planning.

Invoice PDFs can include an invoice number, supply and issue dates, due date, description, payments received, balance and bank-transfer instructions. A billing-only recipient can receive a private link for that invoice without receiving access to every gallery.

Current invoicing is a GBP non-VAT foundation. Client card payments are not part of this offering. Tax filing, bank reconciliation and electronic contract signatures are not available today.

Your questions

Before you get started.

Can I email a photography invoice?

Yes, when email delivery is configured. Review the recipient and explicitly send the invoice link. The invoice-only link has its own expiry and revocation, separate from the client portal.

Does the PDF show my business or GlassSuite?

The invoice uses your photographer business information, including your contact and payment details. Keep those details current before issuing the invoice.

Can I automatically chase unpaid invoices?

You can opt into configured invoice reminders. Reminders recheck the current balance and invoice state; paid, voided, cancelled, paused or disputed invoices are not treated as ordinary overdue balances.
