Record photography expenses and receipts
Record the cost once and keep its receipt with the entry so you can review it later or share selected records with your accountant.
Follow these steps
Enter the expense
Open Finance → Expenses. Record the supplier, date, category and amount. Use the appropriate business category, or Non-company / personal for a private cost. A category does not establish tax deductibility.
Attach its receipt
Attach the receipt through that expense’s controls. Receipts remain private financial evidence. Do not put them in a public gallery or post private financial share links on your website.
Link the job when useful
Link the expense to the relevant Project if it belongs to a particular job. This helps operational cost planning without creating a second expense record.
Review your totals
Finance Overview uses recorded received payments and business costs for cash planning. Personal entries stay in your records but are excluded from business-cost totals. You can reclassify an existing expense without entering it again.
Record a paid software bill once
The GlassSuite software invoices control is for an actually paid supplier bill with its PDF, amount, reference and payment date. A free licence, trial or published plan price is not an expense. Do not also enter the same bill in the ordinary expense form.
What to know
- The monthly ongoing expense tracker is planned. Current expense records do not automatically create future recurring payments.
- Finance planning is not a statutory profit calculation, bank reconciliation or an HMRC submission. Routine financial CSV exports depend on your plan.
