Offer client meeting times and connect Zoom
Offer the times you want clients to book. A confirmed meeting is separate from the shoot booking and from simply saving a meeting preference.
Follow these steps
Set up client meetings
Open Workspace → Calendar → Client meetings. Set the meeting duration, timezone, buffers and contact or location details. Enable bookings when the settings are ready.
Connect Zoom if required
Choose Connect my Zoom and authorise your own account. The platform’s Zoom app must first be configured through Admin → Integrations. If it is unavailable, contact the operator or offer a meeting without Zoom.
Add availability windows
Enter the future windows in which clients may book. Check the displayed timezone. Offered times exclude existing local shoots, meetings and buffers; external calendar two-way sync is not available.
Book through the client or job workflow
The client can choose a meeting time and confirm Book meeting in their portal. In a job’s Meeting options you can save a preference without booking, or explicitly choose a slot and book it. Availability is checked again when the booking is confirmed.
Review the confirmed meeting
Check the saved meeting and calendar entry. When requested and ready, the client receives a join link; the host start link remains private. If Zoom needs review, check the connected account before retrying so you do not create a second meeting.
What to know
- A saved meeting can exist while its Zoom link is still pending. A pending link is not proof that provider setup succeeded.
- Clients can use the explicit reschedule or cancel controls. Removing an availability window keeps existing bookings. Confirmation email depends on the configured delivery service.
